DOI (Digital Object Identifier) is a unique hyperlink that provides a direct link to the publication. DOI functions as an embedded link, a code that allows finding any publication on any resource, regardless of the language of the original link, clearly indicates the location of the article on the Internet, provides a permanent and reliable connection between publications. The hyperlink is stable and does not depend on a publisher, hosting, or publication title change: using the DOI, the search engine has the ability to find the desired publication in one step.
Thanks to the digital identifiers, the content of all participants in CrossRef is fully connected, which allows to actively maximize and store transitions (links) between them, makes the cross-link mechanism more effective. This ultimately leads to an increase in the number of citations in general and of each publication in particular.
Today, the availability of identifiers is a prerequisite for including publications in international scientometric databases such as Scopus and Web of Science. It is also one of the new requirements for scientific professional publications of Ukraine, approved by the order of the Ministry of Education and Science of Ukraine from 15.02.2018 № 32.
CrossRef agency. The activities of the agency are managed by PILA (Publishers International Linking Association, Inc.). Membership in this institution is open to publishers of literature of scientific and professional content. It ensures electronic metadata space for each of the objects that received DOI.
CrossRef manages and maintains a regularly updated information database, consisting of original published works, their metadata (which gives the user a complete idea of the publication, and contains information required for science research), and DOI (which are a definite persistent way of finding each publication).
CrossRef defines for the Association publishers the prefixes (digital signage, which is the first unchanging part of the DOI code). The second part of the DOI is the suffix, which the publisher generates for each publication and every article in it. Generated digital identifiers must be registered on the CrossRef website. At the moment of generation and registration of them on the Internet there should be working web page, separate for each article, and only if there are filled out pages CrossRef will register digital identifiers, storing them in own database as an active link to the article page.
CrossRef offers publishers free and paid services. The former is the ability to find DOI codes in the CrossRef database for source literature from the article lists of all published articles. The latter is the ability to check texts for the presence of elements of plagiarism.
When getting started with an electronic resource of a scientific periodical, its publisher must verify information on the printed (or electronic) version of the publication in the ISSN bureau on the key title and abbreviation in English; as well as the information included in the Ulrich's Periodicals Directory database: the name and location of the publisher, the title of the publication.
Creating a web resource according to CrossRef requirements
Requirements of the CrossRef agency to the web resource of a scientific periodical
1. Own web resource of a scientific periodical (journal) must have an English-language interface.
2. The basic structure of the site should correspond to the following key points:
— The main (visiting) page of the journal should contain the ISSN, as well as the source information for the editor-in-chief, editorial board, editorial board policy regarding the observance of copyright and the procedure for reviewing the articles, scientific topics, the order and periodicity of the publication;
— from the main page there should be a link to each number of the journal - both current and archive;
— the separate page for each number (current or archived) should contain the DOI given to this magazine as a whole (provided by CrossRef free of charge when filling out the article form on the corresponding journal number) and have the form of content of the corresponding journal number, with each content item it should be possible to go to the home page of a separate article;
— the home page of each article must contain metadata: the DOI of this article (after registration), the correct description-link to this article (English abbreviation of the journal according to ISSN, year of issue, volume, number, page interval of the article), authors' last names, names of the institutions where they work, title of the article, abstract (summary) of the article, keywords, lists of literature, mechanism for linking to the full text of the article (for example, in pdf format).
Concluding an agreement on obtaining DOI
CrossRef works only with publishers who have registered as PILA members, paid the relevant membership fees, received the official prefix publisher code. The publisher who issues the publication, as well as a scientific institution or a scientific publisher can become a member of PILA. In the case of a publisher with many publications, CrossRef only communicates with a registered member of the association. An associate member of PILA may provide the services of obtaining and using DOI codes by separate editions, while bearing responsibility to CrossRef for fulfilling obligations, forming, filling and functioning of resources of publications that have received DOI codes.
The subscription agency “Ukrinformnauka“ has been cooperating with the CrossRef agency since 2014. Today, Ukrinformnauka provides DOI codes to more than 50 scientific periodicals of NAS of Ukraine and scientific institutions of other departmental subordination.
To use the system of DOI codes a scientific periodical can conclude a relevant agreement on cooperation with the agency “Ukrinformnauka“. After verifying the compliance of the web resource of the periodical with the requirements of CrossRef and concluding a cooperation agreement with Ukrinformnauca, the responsible publishers will receive access codes for working with the CrossRef database.
Formation of application for DOI
To obtain digital identifiers the publisher sends an application to the SA” Ukrinformnauka” email. The original application must be submitted within five working days of the day it is sent electronically. For each issue number, a separate application must be submitted.
An application for the receipt of DOI for articles from the current number is submitted after the completion of the original layout, but before signing it for printing. At the time of sending an application, information about the current number of the journal should be posted on the English-language web-resource of the journal.
Registration of received DOIs in CrossRef
Upon receipt of the application and verification of the availability of necessary materials on the web-resource of the scientific periodical publication, SA “Ukrinformnauka” provides the DOI. The corresponding letter is sent to the publisher's email address within three business days.
Upon receipt of the email with the generated DOI, the publisher's technical worker must fill out the appropriate electronic forms for the journal number and each article on the CrossRef website. Or send the generated XML files with the required metadata.
Disclosure of received and activated DOI
CrossRef automatically checks the registered DOIs and sends notifications about their successful activation or problems that prevent activation.
Confirmed activated DOI codes should be posted as a link in the electronic version of the publication, on the page with the contents of the journal number and the homepage of the relevant articles, as well as in the original layout of the journal (on the first pages of the relevant articles).
In case of obtaining DOI for archived articles from numbers that were printed in the past, the DOI codes should be placed only on the page with the contents of the journal number and on the home pages of the relevant articles in the electronic version of the publication.
Registration of article lists of literature
The English-language web-resource of the periodical should contain article lists of literature for all articles for which the DOI codes were obtained. Lists must be posted on the relevant homepages of the articles and they must be in English or transliterated. The format of the links should be in line with the most commonly used international standards, since lists created in accordance with these standards can be properly handled by search engines and indexed scientometric databases, in particular Scopus and Web of Science.
Scopus proposes to use any of the eight standard options for compilation of bibliographic lists: APA - American Psychological Association; CBE - Council of Biology Editors, Citation-Sequence; Chicago (Author-Date System); Harvard; Harvard - British Standard; MLA (Modern Language Association) - Single Spaced Reference List; NLM - National Library of Medicine; Uniform Requirements for Manuscripts Submitted to Biomedical Journals.
The performed work allows the use of another service CrossRef - Cited-by Linking, which allows obtaining and posting on the webpage of own publication information on which publications worldwide cited the published articles (more than 30 thousand scientific periodicals participate in this project). This information is provided in the form of a hyperlink to a scientific publication page that cited the articles published in your article. The service contributes to the growth of citation and “visibility” of publications, and therefore increases the likelihood of users inquiring your publication.
CrossRef has been providing digital identifiers for book publications since 2006. Simplification of the mechanism of references to books, as well as the introduction into the active circulation of extensive lists of references to scientific monographs, raises the ratings of scientists and scientific institutions. For book publications, the introduction of the DOI system creates the same benefits as in the case of articles in scientific periodicals.
A DOI for a book can be obtained by a publisher who has properly built own web-resource. The publisher, in the case of receiving DOIs on books, is able to use all the CrossRef services offered for periodicals and articles in them. It is also possible to provide DOI for individual parts of the book - chapters, sections, subsections, or the provision of a separate DOI to a book series, followed by obtaining them for individual serial editions.
Requirements of the CrossRef agency to the book's web-resource
1. A publisher's own web-resource must have an English-language interface.
2. The website must have:
— the publisher's homepage (visiting page);
— exit from the main page to the page of the book edition;
— book page with the following metadata (posting full text is possible, but not required):
Required elements:
1) for series — title of the series, volume, ISBN, publication date (year), publisher, DOI for the series.
2) for book — title of the book, publication date (year), ISBN (ISBN for the printed version and the separate ISBN for the electronic version of the book), publisher, DOI for the book.
3) for book section — DOI for the section.
4) a list of references to the book (section) — References made accordingly.
Recommended elements: last names and affiliation of authors; last names and affiliation of scientific editors, reviewers; abstract (summary) of the book, keywords, number of pages (for books), pages (for sections).
Depositing metadata for scientific publications into the CrossRef database by downloading XML files
Registration of DOI can be done in two ways:
1. Depositing the journal's metadata by completing registration forms on the website of the CrossRef agency.
2. Depositing metadata into the CrossRef database with XML files.
The second option for depositing metadata into the CrossRef database involves creating an XML file in accordance with the CrossRef instruction and uploading it to the CrossRef system using software interfaces.
